Default Templates
Every Atrium tenant comes with three pre-configured document templates. These cover the most common compliance requirements for visitor management and are ready to use out of the box.
Non-Disclosure Agreement (NDA)
A standard NDA that covers confidential information the visitor may be exposed to during their visit.
Key sections:
- Definition of confidential information (trade secrets, business plans, technical data, financial data).
- Visitor obligations: keep information confidential, do not disclose to third parties, use only for the purpose of the visit.
- Duration of obligation (2 years from the date of the visit).
- Remedies for breach.
Variables used: {{visitor_name}}, {{visitor_company}}, {{visitor_email}}, {{host_name}}, {{site_name}}, {{site_address}}, {{tenant_name}}, {{visit_date}}, {{document_version}}.
WiFi Acceptable Use Policy
Terms and conditions for guest WiFi usage. Required when WiFi provisioning is enabled for a site.
Key sections:
- Acceptable use: professional or personal use, no illegal activities, no network disruption.
- Prohibited activities: circumventing security, accessing unauthorized systems, excessive bandwidth usage.
- Monitoring notice: connection logs are retained and may be reviewed in security incidents.
- Disclaimer: WiFi is provided as-is, no warranty.
Variables used: {{visitor_name}}, {{tenant_name}}, {{document_version}}.
GDPR Data Processing Notice
Informs visitors about the personal data collected during their visit and their rights under the General Data Protection Regulation (EU) 2016/679.
Key sections:
- Data controller identification.
- Categories of personal data collected (identity, contact, visit, network, signature).
- Legal basis for processing (legitimate interests, Article 6(1)(f)).
- Retention period: visitor records retained for 12 months, signed documents for 36 months.
- Visitor rights: access, rectification, erasure, restriction, portability, objection.
- Contact information for exercising rights.
Variables used: {{visitor_name}}, {{tenant_name}}, {{site_address}}, {{host_name}}, {{host_email}}, {{visit_date}}, {{document_version}}.
Customizing default templates
The default templates are starting points. To customize them:
- Open the template in the document management section.
- Edit the HTML content to match your organization's requirements (adjust legal language, add company-specific clauses, change formatting).
- Publish the changes as a new version.
Alternatively, create entirely new templates from scratch and deactivate the defaults.
The default templates are generic and intended as starting points. Have your legal team review and adapt them before use in production. Atrium provides the document management infrastructure — the legal content is your responsibility.
